Last updated: 15 May 2026

Introduction

This Billing, Payment and Refund Policy explains how payments, billing, cancellations and refunds are handled on CARS360 when you use our platform to browse cars for sale, compare used cars for sale Nairobi, list vehicles, request car services, buy car parts, explore car import Nairobi, apply for car financing Nairobi, or access related auto sales services.

Purpose

This Policy applies to payments made through or in connection with CARS360, including payments for vehicle listings, promoted listings, car parts, service bookings, valuation requests, import support, financing support, insurance support and other marketplace-related services.

CARS360 is a digital automotive marketplace that connects buyers, sellers, dealers and service providers. Some services may be provided directly by CARS360, while others may be fulfilled by third-party partners, including dealers, finance partners, insurance providers, tracking providers, import agents or parts suppliers.

Where a third-party partner provides a product or service, their own terms, payment timelines, cancellation rules and refund conditions may also apply.

Payments Accepted on CARS360

CARS360 may accept payments through approved payment methods shown at checkout, invoice stage or during the booking process. These may include:

  • Mobile money payments.
  • Bank transfers.
  • Card payments.
  • Partner payment links.
  • Invoice-based payments.
  • Other approved payment methods communicated by CARS360.

Payments must be completed in full before the relevant service, listing, order or booking is activated, unless CARS360 has agreed otherwise in writing.

For services linked to car financing Nairobi, car loan Nairobi, car insurance Nairobi or comprehensive car insurance Nairobi, payments may be processed directly by the relevant finance or insurance partner.

Billing for Marketplace Services

CARS360 may charge fees for selected marketplace services, including but not limited to:

  • Vehicle listing fees.
  • Featured or promoted listing fees.
  • Dealer or seller account packages.
  • Car valuation requests.
  • Car import support services.
  • Car parts orders or enquiries.
  • Vehicle tracking or gps car tracking Nairobi service requests.
  • Insurance or financing facilitation services.
  • Administrative or processing fees.

Before you make a payment, CARS360 or the relevant partner will provide the applicable price, fee, charge or quotation where possible.

You are responsible for reviewing the payment amount, service description and any applicable conditions before confirming payment.

Payments for Cars, Parts and Services

When you enquire about or pay for vehicles, parts or services through CARS360, the exact payment arrangement may depend on the seller, dealer or service provider involved.

For cars for sale Nairobi, used cars for sale Nairobi, new cars for sale Nairobi and other auto sales transactions, payments may involve:

  • Deposits.
  • Reservation fees.
  • Full purchase payments.
  • Dealer payments.
  • Partner invoices.
  • Financing-related payments.
  • Insurance premiums.
  • Tracking installation fees.
  • Valuation or inspection fees.

Unless CARS360 is explicitly listed as the seller or service provider, the final sale agreement is between you and the relevant seller, dealer or partner.

Deposits, Reservations and Cancellations

Some vehicles, parts or services may require a deposit or reservation fee. A deposit may be used to reserve a vehicle, confirm a service booking, initiate a car import process, begin a valuation, or hold a specific offer.

Deposit and cancellation terms may vary depending on the service or seller. Before making a deposit, confirm whether it is refundable, partially refundable or non-refundable.

CARS360 may decline, cancel or reverse a listing, order, booking or transaction where:

  • Payment is incomplete or cannot be verified.
  • The vehicle, part or service is no longer available.
  • The transaction appears fraudulent, abusive or suspicious.
  • Required documents or information are not provided.
  • The buyer, seller or partner breaches applicable terms.
  • A pricing, listing or technical error has occurred.

Where a cancellation is approved and a refund is due, the refund process will follow the refund rules below.

Refund Eligibility

Refund requests must be made within 14 days from the date of payment, in line with the refund position currently reflected on the CARS360 billing policy page.

You may be eligible for a refund where:

  • You were charged incorrectly.
  • You paid for a service that was not delivered.
  • A duplicate payment was made.
  • A paid listing or service could not be activated due to a platform issue.
  • CARS360 or the relevant partner confirms that a refund is appropriate.
  • A cancellation is approved under the applicable service terms.

Refund eligibility will be reviewed on a case-by-case basis.

Non-Refundable Payments

Some payments may be non-refundable, including:

  • Completed service fees.
  • Administrative or processing fees already incurred.
  • Paid promotions or featured listings that have already run.
  • Valuation, inspection or verification services already completed.
  • Third-party charges already paid to dealers, insurers, financiers, tracking providers or import partners.
  • Deposits clearly marked as non-refundable before payment.
  • Payments affected by inaccurate, incomplete or misleading information provided by the user.

For selling cars Nairobi, listed vehicles, import support, financing support, insurance support and car parts transactions, any refund may also depend on the third-party provider’s refund rules.

Refund Processing Timelines

Approved refunds will be processed to the original payment method used, unless CARS360 agrees otherwise in writing. The current indexed billing page also states that refunds are processed to the original payment method.

Refund processing timelines may vary depending on:

  • The payment method used.
  • The bank, card provider or mobile money provider.
  • The nature of the transaction.
  • Verification requirements.
  • Third-party partner processing timelines.

CARS360 will make reasonable efforts to process approved refunds promptly, but we are not responsible for delays caused by banks, payment providers or third-party partners.

Billing Disputes and Payment Issues

If you believe you were charged incorrectly or have a payment dispute, contact CARS360 as soon as possible with:

  • Your full name.
  • Phone number and email address.
  • Payment reference or transaction ID.
  • Date and amount paid.
  • Service, listing, vehicle, part or order involved.
  • A brief explanation of the issue.

We may request additional information to verify the transaction and resolve the matter.

Do not initiate chargebacks or reversals without first contacting CARS360, as this may delay resolution and affect your access to the platform.

Third-Party Payments and Partner Services

Some products and services on CARS360 may be provided by third parties. These may include:

  • Vehicle dealers and sellers.
  • Car import partners.
  • Parts suppliers.
  • Finance providers.
  • Insurance providers.
  • Car valuation partners.
  • Car tracking Nairobi and gps car tracking Nairobi providers.
  • Inspection, logistics or delivery providers.

Where you make payment directly to a third-party provider, their billing, cancellation and refund terms will apply. CARS360 may assist in communication where appropriate but does not control third-party refund decisions unless otherwise stated.

Fraud Prevention and Misuse

CARS360 reserves the right to reject, suspend or cancel any transaction where we reasonably suspect:

  • Fraudulent activity.
  • Payment manipulation.
  • False or misleading information.
  • Abuse of refund processes.
  • Unauthorised use of payment details.
  • Suspicious account activity.
  • Attempts to misuse promotions, listings or marketplace services.

We may also restrict access to CARS360 accounts, listings or services where misuse is identified.
